Background

St. Michael’s Hospital procured the current LMS platform for Unity Health Toronto in 2016. Our organization has grown tremendously since that time. During the pandemic, we had to restrict physical contact to keep our organization safe, and digital education became a crucial mode of delivering learning to end users. These new demands exposed shortcomings with our current platform and motivated us to procure a more suitable solution to be able to serve our current and emerging educational needs.

Unity Health Toronto envisions an LMS that will allow all users, including, but not limited to, Staff, Physicians, Students, Volunteers, Researchers, Contractors, and guests, to access learning content easily. The solution will provide a consistent, easy-to-use and intuitive experience for end users when accessing learning resources through a single, secure point of entry. It will allow rapid access from work or home using a wide range of devices, enabling us to continue to promote inter-professional education and improve management of regulatory and compliance training while continuing to meet the changing educational requirements of our community of learners. The solution will provide not only for the needs of today but expand to meet the needs of tomorrow. 

An RFP for a new LMS was released to market in Q2 2022/23. After conducting a procurement process that engaged leadership and subject matter experts from across the organization, Docebo LMS was identified as the successful proponent.

Elevate Story & Branding

It is our duty to be forward-thinking so that we can prepare our frontline clinicians to perform as they were taught and rise to new challenges. This is the reason we named the system Elevate. The word elevate suggests the idea of improvement and upward progress. It implies that the LMS aims to elevate or enhance the learning experience for users. It conveys a sense of aspiration, indicating that the system is designed to help individuals reach new heights in their education and professional development.

FAQ

What is the go-live date for the new LMS?

Early December 2023 is the target date for when the new system will go live across the organization.

When and how will end-user training for the new LMS take place?

Elevate is designed to be intuitive to operate so that traditional training sessions are not needed for end users. However, to ensure that all users at Unity Health feel comfortable operating the new system, the Elevate project team will offer virtual drop-in sessions after the system goes live in December 2023. Additionally, our educational tools and resources will be developed and shared for Staff, Physicians, Educators and Leaders.

When and how will manager or educator training for the new LMS take place?

The Elevate project team will offer virtual training sessions for managers and educators starting in early November 2023. Additionally, educational tools and resources will be developed and shared for Staff, Physicians, Educators and Leaders.

Will existing courses and modules be migrated to the new LMS?

Yes, all existing courses and modules will be migrated to the new LMS, including learning records of those who have completed training in the past.

In the past, password resets have been a barrier for Staff when accessing the LMS. How will the Staff reset their passwords with Elevate?

In the future state, Staff from all sites with access to Elevate will use their Active Directory credentials. These credentials are the same user name and password, which are used by Staff to log into their workstations and other Unity Health applications. If Staff are required to reset their Active Directory credentials, they will need to contact the Help Desk.

Will Digital Education share training content and corresponding learning records from Elevate with other organizations?

No. The training content and user training data in Elevate will be stored internally and never shared with other organizations. If an end user is requesting a training record or certification to be shared externally, this can be addressed on a case-by-case basis.

Can Elevate be leveraged to organize in-person and virtual sessions?

Yes. Managers, Educators, and Administrators will be granted power user permissions to create and administer ILT (Instructor-Led Training) and VILT (Virtual Instructor-Led Training) courses in the platform.

If I have agreed to be an Evaluator in User Acceptance Testing (UAT), when will this take place? How much time will I have to complete the UAT?

UAT testing scripts will be distributed via email to Evaluators the week of October 16, 2023. The UAT will take a maximum of 2 hours to complete. Evaluators can complete this independently over the course of a week.

Will Elevate allow Managers or Educators to hold spots in classes for new hires?

Placeholders will not be available in Elevate. From a functional perspective, Elevate requires all users to have an account in the system. From an equity perspective, the use of placeholders did not allow for equitable access to learning, preventing users from participating in training that was at capacity due to preexisting holds.

Will Elevate clean up inaccurate staffing data that currently appears in the Learning Centre?

Elevate is entirely dependent on data from the Identity Management System, which is fed from HR data. This means that any information related to staff in terms of their job role, their department, accounts being active, etc., comes from the IDM. Therefore, if you have any issues related to HR data, you can cc elevate@unityhealth.to in your communications so that we can help escalate larger-scale discrepancies, but we are unable to change data in the system. We will provide you with a list of key contacts for specific issues on the Help and FAQ page in Elevate to help guide you to the right resources and contacts.
